You are buying delivery under deadline: rooms held on contract, a venue with the right capacity and power, transport that moves 120 people at once, and one person accountable when the keynote speaker’s flight is cancelled.
Room-night volume and date flexibility. The same venue on a Tuesday in November and a Thursday in June differs by 40% or more, and attrition and cancellation terms move the real cost as much as the headline rate does.
Ask for two references from events within 25% of your headcount, contactable directly, and for the public liability limit on the operating company rather than on a partner. Ask who holds the alcohol and music licences at the venue.
