You are buying a shoot and a licence. The shoot is what people negotiate; the licence — how long you may use the images, where, and whether commercially — is what people forget and then pay for twice.
Session length, number of edited images, and turnaround. A same-week delivery costs more than a four-week one because it displaces other work, and a request for full commercial rights typically adds 50–100% to a personal-use rate.
Ask for public liability insurance if the shoot is on private or restricted property, and for a written permit position on the specific location. For drone work, ask for the operator’s EASA registration and category.
Booking a wedding or brand photographer for a location shoot without checking permit requirements. Many European city centres, national parks and heritage sites require a paid permit for commercial photography and enforce it.
Photography covers photographers, videographers, and within that the quality gap is wider than the price gap. Two companies quoting within 10% of each other can differ entirely in whether the service is operated in-house or subcontracted to whoever is available that week.
Ask which parts of the programme the company runs with its own staff and contracts, and which it buys in. There is nothing wrong with buying in — every operator does — but you want to know where the accountability sits when something fails.
Ask what happens if the tightest connection in your plan fails, and listen for a specific answer rather than a reassuring one. Ask what is deliberately not included in the price. Ask when the quote expires and why — a release period is a real deadline from a supplier, not a sales tactic, though it is sometimes used as one.
And ask for one reference from a trip comparable to yours in size and season. A company that has done the work will produce it in a day.
